Symptom You want to set up the "E-mail to credit representative" function. You want the credit representative or the credit manager to be automatically informed by e-mail if a document is credit blocked.

Reason and Prerequisites The description of this function in the online documentation is insufficient. The automatic credit control is active.
Solution In the sales order, you can find a credit representative (partner function KB) and/or a credit manager (partner function KM) using the partner determination. If a document is locked by the automatic credit control, the system can automatically send an e-mail with this information to the credit representative or the credit manager. The document can be released directly from the e-mail. For this, make the following settings in Customizing: 1. User master record (SU01) You must create a user master record for the person who you want to receive the e-mail. 2. HR master record (VPE1 or PAL3) You must create a HR master record for the person who assumes the role of the credit representative or the credit manager. If you are not working with Human Resources in the R/3 system, you can create an employee responsible. The user master record is linked with the HR master record in infotype 0105 ("Communication"). Define the user ID for the communication type 0001 "System user name SAP system (SY-UNAME)". 3. Customizing for partner determination (VOPA) The origin is set for the role KB and/or KM in the partner determination procedure. You can use the customer master record of the payer (partner role RG) as the source. In the customer master record, maintain entries for the roles KB and KM. You can also set the origin A "Credit Management: credit representative (table T024P)" as the source. Maintain the corresponding entries in the table T024P (transaction OB51). A user master record, a HR master record, and the link between both (points 1 and 2) must also exist for this variant. 4. Output determination You must define the output type KRML ("Credit Processing") in the output determination procedure. Create an output master record for the output type KRML, for medium 7 "SAP Office", and for event 4 "Send immediately (when saving the application)". Double-click to navigate to the detail of the output master record and define a dummy recipient for the output. Choose "Goto -> Execute parameters". Sales order: Define transaction VKM3 and the parameter ID "AUN" with the value VBAK-VBELN. Save the output master record. Delivery: Define transaction VKM5 and the parameter ID "VL" with the value LIKP-VBELN. Save the output master record. An output of the type KRML is only found and generated when you save the document. This is carried out using a requirement that is defined in the output determination procedure for the output type KRML. In the standard system, the requirement 009 (order) and the requirement 010 (outbound delivery) are used. Check the following points if the system does not send an e-mail even though the settings
are implemented as described above. 1. Check that partners for the roles KB and KM were found at header level. 2. Check whether the output of the type KRML was created and what the processing status of the output is. 3. Check that the requirement that is used is met. Requirements 009 and 010: The credit status must be changed to locked (VBUK-CMGST = 'B') and the next item due to be sent must fall within the next two days. When a document is changed from VKM* transactions, the requirement is not met and no message is created. 4. Check whether sending to organizational units (HR number here) is allowed in the "Shared Office Settings" (SAPoffice; transaction SO16) ("Addressing" tab page, "Organizational Unit" indicator). 5. Check in the SAP Business Workplace whether the determined recipient of the output definitely did not receive the e-mail.
